How to Review Fabric Samples Before Production

Use a practical fabric sample review checklist covering sample identity, colour, GSM, usable width, performance evidence and clear production approval.

A sample approval should identify what has been accepted and what remains open. A favourable first impression is useful, but it should not silently become approval for colour, finish, performance and bulk production at the same time.

Confirm exactly which sample you are reviewing

Record the reference, version, date received and intended use. Ask whether it is an existing construction, development trial, colour sample or production reference. Keep the specification and sample comments together so a later replacement cannot be mistaken for the approved version.

Review appearance and dimensions separately

  • Colour: compare against the agreed physical standard under agreed viewing conditions. Record whether colour approval is complete or still pending.
  • Handle and surface: describe the accepted feel and appearance, including both sides where relevant. Keep a retained reference for subjective comparisons.
  • GSM and usable width: compare the recorded measurements with the agreed specification and tolerances. Identify the measurement method where it matters.
  • Garment trial: let the garment team check the intended pattern, seams and combination with other materials before treating a swatch as garment approval.

Match evidence to the performance requirement

List the properties that must be verified, the agreed methods, pretreatment and acceptance criteria. Check that a report refers to the relevant sample and construction. If the finish or layered structure changes, ask which checks need repeating. Different test methods should not be treated as directly comparable just because they describe a similar property.

Write an approval that can be acted on

Use a short approval record with five fields: sample reference and revision; properties approved; open issues; evidence reviewed; and the person/date authorising the next step. State whether the decision allows another sample, a garment trial or production. Retain the approved reference and communicate any change before it is implemented.
